Privacy Policy
Centri AI is built so your computer is the main home for your data. This policy explains what we collect, where it is kept, who processes it for us, how long we keep it, and the choices you have. Questions: paul@centriai.com.
Who we are
Centri AI (“Centri”, “we”) makes the Centri AI desktop app, this website and the Centri service the app connects to. For the personal data described here we are the controller. When a company uses Centri for its team (the Business and Enterprise plans), the company decides how its workspace is used, and we process its workspace data on its behalf.
On your computer
Your notes, meeting transcripts, action items, to-dos, people and companies, and the index of any email you connect are stored in an encrypted database on your computer, with its key in your operating system's keychain. We cannot read this data. Meeting audio is not kept unless you turn on “Keep meeting audio”; then it is kept encrypted on your computer for 7 days. A voice profile, if you create one, is a voiceprint kept only on your computer. Uninstalling the app and deleting its data removes all of this.
What we collect
- Account: your email address and name when you sign in, and the sign-in provider you used (email link, Google or Microsoft).
- Synced content: when you are signed in, the notes, transcripts, speakers, action items, to-dos, folders, templates, prompts and settings you sync, so they reach your other computers. Your email index, voice profile and audio are never synced.
- Shared content: a copy of each note you share by link or with a team, the people and teams it is shared with, and team and workspace membership, roles, invites and an audit log of team changes.
- Billing: your plan, its status and seats, and the email you paid with. Card details go to Stripe, our payment provider, and never reach us.
- Website visits: the page, referring site, device type and approximate location of each visit to this website, without cookies or IP addresses (see Cookies below). When you join the waitlist we also keep the country and city you joined from.
- Booking a call: when you book a call with us, your name, email, time zone and, if you give them, your company and what you'd like to talk about. They go into the calendar invitation on our Google Calendar (Google sends you the invitation); Centri's servers don't keep a copy.
- Service logs: technical records of requests to the Centri service (time, the address they came from, errors). They never contain note, transcript or email text.
- Messages you send us, such as support requests.
We do not sell personal data, use it for advertising, or share it with data brokers.
Processing to give you results
Some features send data to a provider to be processed and returned. Nothing is sent for these features in local-only mode.
- Transcription: meeting audio is streamed to our transcription provider while a meeting is transcribed, unless you choose transcription on your computer. After a meeting, the audio is held encrypted on your computer and sent once more for an improved transcript with speakers told apart, then deleted, within an hour at most.
- AI notes and answers: to write notes, answer questions, write titles and briefs, and find to-dos, the text a request needs (parts of notes, transcripts, and the email an answer draws on) is sent to our AI provider.
- Shared notes: people who view a share link can ask questions about it; only what the link shows is sent to our AI provider.
We do not use your content to train AI models, and our AI provider does not train its models on it.
Connected accounts
You can connect your calendar (Google or Microsoft), your email (Outlook, or Gmail for sending), Microsoft Teams, Zoom, Notion and other meeting tools. Access is read-only, except that when you ask Centri to set up a meeting and press Create, it adds the event to your calendar (sending the invites) and creates the Zoom, Google Meet or Teams meeting; and when you change a meeting you organize (its title, time, length, guests or call link) and press Save changes, it updates that event on your calendar, which tells its guests. Centri never deletes events or changes meetings someone else organizes. If you connect Gmail or Outlook for sending, Centri gets permission to send email only (it cannot read your mail with it), and sends an email you have reviewed (a meeting recap, a follow-up, or one Centri drafted for you in Search), from your own address to the people you choose, only when you press Send. The message goes from your computer straight to Google or Microsoft. The app reads these accounts from your computer, keeps what it reads on your computer, and sends parts of it to our AI provider only when a feature you use needs them (for example, to answer a question). Their sign-in tokens are kept in your computer's keychain. You can disconnect any of them in the app, and choose whether and how far back email is indexed.
Centri AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use Google user data only to provide the features you use in Centri, we do not use it for advertising, we do not let people read it unless you ask us to (for support) or the law requires it, and we do not use it to develop or train general AI or machine learning models.
Meetings with other people
Recordings and transcripts include what other people say, and their names when the call app shows them. You are responsible for telling people when you take notes and for following the recording and consent laws that apply to you. The app has a consent reminder and a notice you can paste into the chat, and company admins can require notice for their team.

These providers may process data in the United States and other countries. Where the law requires, transfers are covered by appropriate safeguards such as standard contractual clauses.
How long we keep it
- Synced and shared content: until you delete it or your account.
- Revoked or expired share links and used or expired invites: deleted 30 days after they end.
- Deleted teams and workspaces: deleted 30 days later.
- Workspace audit logs: 1 year.
- Billing records: as long as tax and accounting law requires.
- Backups: deleted data leaves our backups when they expire.
Your choices and rights
- Get a copy: in the app, Settings, Account, Your data, “Download my data” saves everything the Centri service holds for your account.
- Delete: “Delete account” in the same place deletes your account and everything the service holds for it. Notes on your computer stay there until you remove them.
- Keep it local: use Centri without an account, or turn on local-only mode so nothing is sent to the Centri service or our providers.
- Other rights: depending on where you live, you may have the right to access, correct, delete, restrict or object to processing of your personal data, to data portability, and to complain to your data protection authority. Write to paul@centriai.com; we reply within 30 days.
If your company runs your workspace, some requests about workspace data go to your company's admin first.
Security
Data is encrypted on your computer, in transit, and at rest on the Centri service. Each account can only reach its own data, team access follows roles, and the app never holds our providers' keys. More on our Compliance page.
Children
Centri is for work and is not meant for anyone under 16. We do not knowingly collect their data.
Changes
We will post changes here and update the date above. For significant changes we will tell you in the app or by email before they take effect.
